Mentor Coaching Terms & Conditions
CONTRACT DURATION
This Agreement begins on the date of purchase and continues until 31st January 2027.
The mentor coaching programme consists of:
• Three live online group mentor coaching sessions
• Two individual online 90-minute mentor coaching sessions with Emma Dempsey
Specific session dates and times will be confirmed at the point of booking and/or via email. The group mentor coaching sessions take place once per month across three consecutive months and are delivered in small groups.
Session 1 lasts 2 hours.
Sessions 2 and 3 last 2.5 hours each.
All group sessions take place via Zoom.
The individual 1:1 mentor coaching sessions are each 90 minutes in duration.
The mentor coach is Emma Dempsey PCC.
Stellar Conversations reserves the right to amend session dates or times where reasonably necessary. Participants will be given as much notice as possible should changes arise.
COMMUNICATION
Participants will receive email reminders prior to each group session.
Participants are responsible for arranging their individual mentor coaching sessions directly with Emma following completion of the group mentoring element. A booking link will be provided.
BOOKING OF INDIVIDUAL SESSIONS
Participants are responsible for arranging their two individual mentor coaching sessions directly with Emma following completion of the group mentor coaching sessions. A booking link will be provided, however it remains the participant’s responsibility to ensure sessions are booked and completed within the programme timeframe.
Due to upcoming changes to ICF credentialing pathways and mentoring requirements, all individual mentor coaching sessions must be completed by 31st January 2027.
Sessions not booked and completed by this date may be forfeited and cannot be guaranteed beyond this timeframe.
PAYMENT
Payment can be made either:
• In full at the point of booking, or
• Via four monthly instalments through Stripe
All payments are non-refundable once the programme has commenced.
NATURE OF THE SERVICE
This is a Mentor Coaching relationship focused on coaching development in alignment with the International Coaching Federation (ICF) competencies and credentialing requirements.
Mentor coaching is distinct from coaching, supervision, consultancy, therapy, or psychological counselling.
ATTENDANCE
Due to the nature of mentor coaching and ICF requirements, participants are expected to attend all group and individual mentor coaching sessions in full.
Attendance and participation are required in order for mentor coaching hours to be confirmed and logged.
Completion of the programme and confirmation of mentor coaching hours is dependent on attendance, participation, and completion of the required mentor coaching elements.
If a participant cannot attend a scheduled group session, fees remain non-refundable.
Where possible, Emma may offer the opportunity to join a future cohort session, however this cannot be guaranteed and will depend on availability and group suitability.
Individual mentor coaching sessions may be rescheduled with a minimum of 48 hours notice, up to two times.
If the mentor coach is unable to attend a scheduled session due to illness or unforeseen circumstances, the session will be rearranged as soon as reasonably possible.
TECHNOLOGY
Participants are responsible for ensuring they have access to a suitable internet connection, device, camera, microphone, and Zoom access in order to participate fully in online sessions.
GROUP PARTICIPATION
The mentor coaching groups are intentionally kept small to support meaningful reflection, discussion, observation, and individual feedback.
Participants are expected to engage respectfully and professionally within the group space.
Offensive, discriminatory, abusive, or inappropriate behaviour will not be tolerated and may result in removal from the programme without refund.
GUARANTEES
There are no guarantees that mentor coaching will meet every expectation or desired outcome. Participants are encouraged to bring openness, curiosity, and reflection to the process. If concerns arise during the programme, these should be discussed directly with the mentor coach.
CONFIDENTIALITY
As part of the mentor coaching process, participants may share personal reflections, coaching experiences, and coaching recordings.
The mentor coach will treat all information confidentially and will not disclose information to third parties unless:
a) there is a serious concern regarding safety or wellbeing
b) disclosure is required by law
c) information is required for professional credentialing, supervision, or accreditation purposes
As this is a group mentor coaching programme, complete confidentiality between participants cannot be guaranteed. Participants are expected to respect the confidentiality and privacy of others within the group space.
RECORDINGS & FEEDBACK
Participants may be asked to share recordings and transcripts of coaching conversations for developmental feedback purposes.
Participants are responsible for obtaining appropriate permission from the person being coached before recording or sharing any coaching conversation with the mentor coach.
Any recordings or transcripts shared as part of the mentor coaching process must remain confidential and must not be copied, downloaded, or distributed by other participants.
NOTES
Only brief written notes are kept by the mentor coach.
Participants are encouraged to journal, reflect, and maintain their own developmental notes throughout the mentor coaching process.
INTELLECTUAL PROPERTY & RESOURCES
All mentor coaching materials, resources, frameworks, handouts, recordings, and supporting content provided by Stellar Conversations remain the intellectual property of Stellar Conversations unless otherwise stated.
Resources are provided for individual participant use only and must not be copied, reproduced, shared, distributed, or used for commercial training purposes without prior written permission.
Participants may use learning and reflective insights gained through the programme within their own coaching practice, however the programme content itself may not be repurposed, taught, or presented as their own material.
GDPR CONSENT
Stellar Conversations collect and process personal information in order to provide a professional mentor coaching service, maintain appropriate records, and communicate with participants.
This information may include your name, email address, coaching recordings, transcripts, and any information you choose to share during mentor coaching sessions.
All personal information is stored securely and appropriate measures are in place to prevent unauthorised access.
Administrative support may have limited access to email communications for operational purposes.
You have rights under GDPR, including the right to request access to your data, request corrections, or request erasure in certain circumstances.
